How we handle your data

This page is a draft pending final review, and an official translation will follow. The data-handling facts below (the email processor and EU data residency) are accurate today.

What we collect

When you register we collect your name, email address, organisation, role, and country, along with any profile details or photo you choose to add.

How we use it

Your data is used to manage your registration, send confirmations and sign-in links, and run the event platform: the agenda, sessions, and the moderated chat.

Where your data lives

Your personal data is stored in the European Union (AWS eu-central-1, Frankfurt). We do not replicate personal data to regions outside the EU.

Processors we use

Confirmation and sign-in emails are sent through Twilio SendGrid, a US-based email processor. This involves a transatlantic transfer of your name and email address, carried out under a data-processing agreement and Standard Contractual Clauses (or the EU-US Data Privacy Framework). When a session is embedded, Zoom loads within the page as an additional in-page processor.

Your rights

Under the GDPR you can request access to your data or its erasure. Deleting your account removes your attendee record, profile, and chat messages.

Contact

Questions about this notice or your personal data can be directed to the organising team; the official contact address will be published before the event.
